Privacy Policy
CoachHive (“CoachHive”, “we”, “us”) provides a training-session planning platform for sports academies: an iOS app for coaches and a web portal for academy administrators (together, the “Service”). This policy explains what information we collect, how we use it, and the choices you have.
CoachHive is built for coaches and academy staff. It does not collect or store personal information about players or children (see “Children’s privacy” below).
Information we collect
Account information. When an account is created — either by registering an academy or by accepting an academy’s invitation — we collect your name, email address, and role (coach or admin), and we associate your account with your academy.
Content you create. Drills (titles, descriptions, instructions, links to videos), training-session plans you generate, and related activity such as whether you saved or used a session. This content belongs to your academy’s workspace.
Technical information. Our servers keep standard operational logs (such as request timestamps, IP addresses, and error details) to run and secure the Service. The mobile app stores a sign-in token securely on your device so you stay signed in.
We do not collect precise location, contacts, photos, health data, or advertising identifiers. The Service currently contains no advertising and no third-party analytics SDKs. If we add error-tracking or product-analytics tools in the future, we will update this policy first.
How we use information
- To provide the Service: authentication, generating training sessions, and letting your academy manage its drill library and coaching staff.
- To send transactional emails only — sign-in, invitations, and password resets. We do not send marketing email.
- To secure, debug, and improve the Service.
We do not sell your personal information, and we do not share it with third parties for advertising.
Who can see your information
Your name and email are visible to the administrators of the academy you belong to, and your name is shown alongside drills and sessions you create within that academy. Academy content (drills, sessions) is visible only to members of that academy — never to other academies.
Service providers
We use a small number of infrastructure providers to operate the Service, each processing data on our behalf:
- Supabase — database and authentication hosting (data stored in the United States)
- Google Cloud — API hosting (United States)
- Vercel — web portal hosting
- Resend — transactional email delivery
Video playback. Drill videos are embedded from YouTube. When you play a video, YouTube (Google) may collect data as described in Google’s Privacy Policy. We do not control YouTube’s data practices.
Data retention and deletion
Delete your account any time, directly in the app: Profile → Delete account.
- Coaches and admins: your login is permanently destroyed and your personal details (name, email) are removed from our records. Drills and session plans you created remain with your academy — they are the academy’s working library — but are anonymized and attributed to “Former coach”.
- Academy owners: an academy cannot exist without an owner. If you own an academy, deleting your account also permanently deletes the academy — its drill library, session templates, session history, and pending invitations — and removes its coaches’ access (their own accounts are not deleted). The app asks for explicit confirmation before doing this.
Academy administrators may also remove a coach from their academy; this revokes the coach’s access while preserving the academy’s records.
If you have trouble deleting your account in the app, contact us at the address below and we will do it for you.
Children’s privacy
The Service is intended for coaches and academy staff and requires users to be at least 16 years old. We do not knowingly collect personal information from children under 16. Training content on the platform describes drills and coaching plans — it is not linked to identifiable players. If you believe a child has provided us personal information, contact us and we will delete it.
Security
All traffic to the Service is encrypted in transit (HTTPS). Data access is restricted to our server-side systems; the mobile app and web browser never query the database directly. Sign-in credentials are handled by our authentication provider and are never stored by the app in plain text.
Your rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal information. Account deletion is self-service (above); for anything else, email us and we will respond within 30 days.
Changes to this policy
We may update this policy as the Service evolves. We will post the updated version at this address and update the effective date. Material changes will be communicated in the app or by email.
